Social media: calendar, accounts, approvals and automation
The Social media menu (Calendar, Studio, Analytics, Ads, Accounts, Settings), matching accounts to sites, the account setup wizard, approvals, automation and connecting YouTube and LinkedIn.
Open this screen in the panelEverything about social media sits in its own Social media group in the side menu. All pages follow the site picker at the top: with a site selected you see that site's accounts and posts, with All sites everything in the organization.
| Menu | What you do there |
|---|---|
| Calendar | See planned, waiting, published and failed posts by week, month or as a list |
| Studio | Write copy, generate images and video with AI, share to several accounts at once: Studio |
| Analytics | Post performance of Instagram and Facebook accounts and data-backed suggestions: Analytics |
| Ads | Meta campaigns, ad sets and ads with their results: Ads |
| Accounts | Connect Facebook, Instagram, WhatsApp, YouTube and LinkedIn and map each account to a site |
| Settings | Meta apps, the brand kit, automation and the AI used for media |
Calendar
- Open Social media → Calendar.
- Switch between Week, Month and List; move with Previous, Next and Today.
- The strip at the top counts Waiting for approval, Scheduled this week, Published (28d) and Failed. Each post card is coloured by its status.
- Click New content to open the Studio, or the + that appears on a future day to open it with that date filled in.
Accounts and site matching
Every account belongs to one site. Automatic sharing, automation and the Studio only use an account on the site it is mapped to. An account shown as Not linked to a site is not used anywhere until you give it a site.
- Open Social media → Accounts. The table lists every account of the organization, whatever site is selected.
- Pick a site in each row's Site list, or tick several rows and use Set site of selected….
- Smart match suggests the best site for each account from its website and name; suggested sites are marked ✦. Nothing changes until you press Save; Discard drops unsaved changes.
- On Facebook Page and Instagram rows, Auto share creates a post when a blog article of that site goes live.
When you connect again later, accounts keep the site you chose. To remove accounts, select them and click Remove; nothing is posted to them until you reconnect.
Account setup wizard
Meta does not let apps create Facebook Pages or Instagram accounts, so you create them yourself. When the selected site has no Facebook Page or no Instagram account yet, the Accounts page shows a card with the Account setup wizard. It prepares:
- a profile picture (720×720) with the logo centred, so the round crop does not cut it, and a cover image (1640×624), both built from the site's brand kit;
- page name and username ideas, a category hint, a short and a long About text and an Instagram bio;
- the website and the e-mail and phone number found on the site.
Texts are written by your AI model from the site's content; without an AI key they come from the site's title and description. Check them before you publish. SEOAsist does not check whether a username is free on Facebook or Instagram.
The wizard walks you through creating the Facebook Page, uploading the images, opening an Instagram business account and linking it to the Page. In the last step, Connect with Facebook maps the new Page and Instagram account to this site, unless they match another site.
If the images can't be created, add a logo to the brand kit under Social media → Settings and click Prepare again.
Approvals
Posts that wait for you are in To do under Social posts: approve to publish now, or give a date. Posts sent with Send for approval from the Studio, posts written by the Assistant or MCP and everything automation creates land here.
Automation
Automation is off by default; when off, nothing is created on its own. Only the owner or an admin can change it, under Social media → Settings on the Automation card.
- Turn on Turn automation on.
- Tick the jobs you want:
- Weekly plan (from Analytics suggestions): every Monday up to 3 posts per account on the suggested day and hour.
- A series from every new blog post: when an article goes live, a Facebook post, an Instagram carousel and a LinkedIn post with brand-kit images (made with your AI image model, otherwise the article's featured image).
- Add a short video (Reels): a 15 s vertical video goes to the media library for you to add as Reels from the Studio. Needs a video model key.
- Propose the best post again: once a week the best-reaching post of 30–90 days ago goes back to review.
- Set Max automatic posts per week and click Save.
Automatic posts wait for approval and are never published at once. Automation never creates ads.
YouTube and LinkedIn
YouTube channels and LinkedIn company pages connect next to the Meta accounts on Accounts:
- Connect YouTube signs in with your Google account and asks for the upload and read permissions. The Studio can then upload Shorts (vertical, up to 60 s) and normal videos; the channel's subscribers and views are synced.
- Connect LinkedIn page connects the LinkedIn company pages you administer. Posts can carry text, an image or a link.
The YouTube and LinkedIn card under Settings shows whether each channel is available on this server.
Assistant, MCP and API
The Assistant and connected AI apps can list accounts, read Analytics, write posts and propose a short campaign with the social tools of the MCP server. What they create lands in your review queue; they can't create ads.
FAQ
Why was nothing shared when my article went live?
Check that the account is mapped to the article's site and that Auto share is ticked. Accounts marked Not linked to a site are never used. Instagram also needs an image on the article.
Does SEOAsist read WhatsApp messages?
No. WhatsApp is only used to send notifications: Meta and Instagram.
